BUSINESS MANAGER — BRANDYWINE VALLEY CHURCH
WILMINGTON, DELAWARE | PART-TIME
Purpose
Support the day-to-day business and financial operations of the church in partnership with Breakwater Accounting & Advisory and in support of the Executive Pastor, consistent with BVC's mission: To introduce people to Jesus Christ and help them follow Him.
Key Responsibilities
Congregational Interface
- Serve as the friendly point of contact for congregants on giving, statements, reimbursements, and other business questions.
- Maintain strict confidentiality of all giving, personnel, and financial records.
Deposits & Banking (WSFS)
- Count, verify, and prepare weekly offerings for deposit; make in-person deposits at WSFS.
Contributions Reporting
- Oversee the maintenance of accurate giving records in Pushpay and prepare annual and on-request giving statements.
- Reconcile contributions to deposits and to Breakwater’s records; resolve discrepancies and donor questions.
Restricted Giving & Non-Cash Gifts
- Track designated/restricted funds (missions, benevolence, memorial, building) to ensure use aligns with donor intent.
- Coordinate receipt and acknowledgment of stock and other non-cash gifts in line with IRS requirements.
Accounts Payable
- Serve as the church-side point of contact for Accounts Payable, which is processed by Breakwater.
- Collect invoices, verify coding, obtain approvals, and submit to Breakwater on time.
- Manage vendor W-9s and assist with year-end 1099 coordination.
Reimbursements & Credit Cards
- Review staff reimbursement requests and mileage logs for documentation and coding before sending to Breakwater.
- Reconcile monthly church credit card statements; collect receipts and coding from cardholders.
Benefits – 403(b) & HSA
- Manage 403(b) contributions: coordinate elections and confirm payroll remittances post correctly with the provider.
- Manage HSA contributions and serve as the staff resource for enrollment and contribution questions.
Liaison with Breakwater
- Act as the designated point of contact between BVBC and Breakwater.
- Provide timely documentation, attend scheduled meetings, and follow up on open items.
- Review Breakwater’s monthly financial statements with the Executive Pastor and flag questions.
Support to the Executive Pastor
- Assist with the annual budget, audit/review prep, and board reporting (heavy lifting handled by Breakwater).
- Perform other business and administrative tasks as assigned.
Qualifications
Professional
- Strong attention to detail, accuracy, and discretion with money and confidential records.
- Experience with deposits, contributions, AP, or benefits in a church, nonprofit, or small-business setting.
- Proficient with Word, Excel, and email; willing to learn QuickBooks Online, Pushpay, and Gusto.
- Organized, dependable, and able to meet recurring deadlines.
- Warm, professional written and verbal communication.
Personal
- Baptized follower of Jesus Christ aligned with BVC’s Statement of Faith and vision.
- Member of BVC, or willing to become a member upon hire.
- Vibrant, authentic personal walk with the Lord; collaborative, pastoral, and team-oriented.
Working Relationships
- Reports to the Executive Pastor.
- Designated point of contact with Breakwater Accounting & Advisory.
- Works closely with the Lead Pastor, Finance Committee Chair, and church staff.
